Member Update: Database Migration

Over the past year, the American Saddlebred Horse & Breeders Association staff, committees, and technology partners have been engaged in a focused effort to increase efficiency with the use of modern technology and streamlined processes. 
 
We are thrilled to report that we are ready to execute Phase 1 of the update and modernization of ASHBA’s core technology systems. A Host Infrastructure Migration of our core database to a cloud based hyperscaler will be occurring between April 24th-28th
 
This foundational investment is the first step in a broader transformation of how we deliver services and support members of the association. A multi-phase plan has been developed centered on how you do business with ASHBA - registering horses, submitting information, accessing results, receiving awards, and managing your interactions with the association through our online systems.
 
Phase 1:
Upcoming Maintenance Window
As part of this transition, the ASHBA member portal will be intermittently unavailable during a planned maintenance window:
Step 1: Intermittent Downtime
April 24 (3:00 PM ET) – April 28 (3:00 PM ET)
 
Step 2: Full System Restored
Following the maintenance window, the member portal will be available again using your existing login credentials.
 
What Does This Mean for You
·       Your login and access will remain the same 
·       Your data and records will not be affected 
·       Day-to-day use of the portal will feel largely the same immediately following the update 
 
While the visible experience will remain familiar, significant changes are taking place behind the scenes to support future improvements.
Shortly after this transition is complete, we will begin sharing details on Phase 2, which will focus on updates to processes and the member experience.
 
Background
Starting in 2012, USEF provided database and portal hosting services to many of its breed affiliates, including ASHBA. During this time, these systems have been hosted on a traditional server environment. As technology has advanced, particularly with the growth of cloud-based systems, this structure no longer provides the flexibility needed to support ongoing improvements and evolving member needs. 
 
What is commonly referred to as “the website” is made up of three connected components:
1.       The public-facing website, which provides information and serves as the entry point for logging in to the member service portal
2.       The member portal, where members access accounts, view horses, and complete transactions 
3.       The database, which houses all the member, horse, and program data
 
What This Means for ASHBA Members
Moving to a cloud-based host infrastructure allows ASHBA to begin improving how members complete everyday tasks and interact with the association.
Over time, this work is expected to support:
·       More digital processes when registering horses and submitting information 
·       Reduce reliance on paper and manual steps, as systems evolve 
·       Better alignment between systems and workflows, helping reduce duplication and inefficiencies 
·       Clearer and more predictable experiences, as processes are reviewed and updated 
·       Improve access to information, including records, results, and program data 
 
The results of Phase 1, implemented this month, might not be immediately visible to members, but it creates the foundation needed to evaluate, prioritize and improve how members do business with ASHBA over time.
